This website is secured with an SSL certificate. This means that this website is called up under HTTPS. HTTPS stands for 'HyperText Transfer Protocol Secure'. This is an extension to the HTTP protocol. The HTTP protocol is used to let a web browser (such as Chrome, Internet Explorer or Firefox) communicate with a web server on which a website is hosted. The extension of the HTTPS protocol ensures that this communication is encrypted. For hosting our websites and storing and forwarding any personal data, we use the servers of the Dutch company XXL webhosting.

Data Sources

Our primary sources of information include direct input from you, public registries, official entities, credit reporting agencies, contact information providers, and other similar reputable entities. We also compile data based on interactions with our digital platforms or services. Detailed information about our use of cookies is available in Section 7 of this document.

For the aims outlined in this Privacy Policy, we might also gather and update personal data from publicly accessible resources and through information provided by governmental or third-party entities, within the confines of applicable legal frameworks.

Data Sharing and International Transfers

We may share information from our databases with our partners who conduct marketing, organize campaigns, or events on our behalf, considering themselves as data controllers rather than processors acting under our directive. These partners may include social media platforms and advertising networks, among others. Apart from these instances, we do not share information with external parties unless mandated by law or required by governmental directives.

We engage third-party service providers to process personal data on our behalf, including IT management and customer and marketing system maintenance. These providers store personal data on secure servers under their management.

We may transfer personal data internationally as part of the purposes described in this Privacy Policy. In cases where personal data is processed outside of the EU/EEA, we ensure compliance with legal requirements, for instance, by employing the European Commission’s standard contractual clauses or other mechanisms approved under Article 46 of the GDPR for safeguarding personal data.

How do we protect the data and how long do we store them?

Only those of our employees, who on behalf of their work are entitled to process customer data, are entitled to use the system containing personal data. Each user has a personal username and password to the system. The data is collected into databases that are protected by firewalls, passwords and other technical measures. The databases and their backup copies are in locked premises and can be accessed only by certain pre-designated persons.

We store the data as long as it is necessary for the purpose of processing the data. Personal data in the Customer, Stakeholder and Marketing register is erased after the claim period related to a specific customer, stakeholder or service relationship has elapsed. This period is typically ten (10) years.

We regularly estimate the need for data storage taking into account the applicable legislation. In addition, we take care of such reasonable actions that ensure no incompatible, outdated or inaccurate personal data is stored in the register taking into account the purpose of the processing. We correct or erase such data without delay.

Retention periods

The data you submit via the contact form will not be stored for longer than is necessary for the purposes for which the personal data was collected and processed. Often, after handling your question or comment, your data can be deleted. We will only keep the personal data for a longer period if we are legally obliged to do so or if it is necessary to defend our interests (for example, in the event of a dispute between you and us).

As mentioned earlier, we use cookies, pixels (or similar techniques) and social media plug-ins on our websites. Some of these cookies are necessary to make our website work and others allow us to improve our website and show you the right ads and articles. We have written extensively about this in our Cookie Policy.

Access, correction and portability of your data

If you would like to know what personal data we have stored about you, you can make a request to us. This is only possible for the personal data that we collect. We cannot retrieve the data that we only process retrospectively. If you want to make changes to the data you have requested, you can indicate this to us. You can request that AdSpotting change, correct, supplement, delete or otherwise shield your data.

You also have the right to receive the personal data provided by you in a common, structured and machine-readable format from us and then transfer it yourself. This request can also be sent to us.
